1. Prices
Are in euros (€) and include VAT. Prices are valid only at the time stated in the offer. The hotel reserves the right to review prices on an annual basis.
2. Terms and conditions of payment
The method of payment must be confirmed when confirming the booking.
Possible payment methods are debit or credit card, cash, prepayment or invoicing. The customer can only be invoiced afterwards if the customer is VALO Hotel & Work’s invoicing customer in Finland. We do not bill abroad. The payment term of the invoice is 7 days net, and the interest on arrears is determined in accordance with the Interest Act. The invoicing surcharge used by VALO Hotel & Work is added to the invoice. If the invoice for the opportunity is distributed as desired by the customer, an invoicing surcharge will be charged for each separate invoice. For billing, the billing address and reference must be provided. We do not bill individuals, but the payment method is always cash or card payment.
3. Booking guarantee
All bookings must be guaranteed by credit card upon confirmation *. The credit card number, the name of the cardholder and the expiry date of the card are required for the guarantee. Alternatively, billing customers can guarantee a reservation in the name of the company. As an alternative to a credit card or corporate guarantee, VALO Hotel & Work has the right to require either a partial or full prepayment to guarantee the reservation, if necessary. The advance payment and its payment schedule are always agreed in advance with the subscriber in writing.

4. Reservation management and contract transfer
The customer will inform the contact person who has the right to manage the booking. The customer has no right to transfer the contract or transfer the rooms / premises he has reserved to a third party without the written consent of the hotel.
5. Cancellation terms
The customer has the right to cancel his or her accommodation or meeting booking without any compensation to the hotel within the following cancellation periods:
Attendee = A person attending a meeting or restaurant reservation
Room day = Number of room days in the accommodation reservation. Eg 10 rooms for two nights = 20 rooms per day
In addition to the above, two rooms can be canceled by 16:00 the day before the day of arrival free of charge.
If canceled later or in case of no-show, the total price of the reservation will be charged. Changes to the booking must always be made in writing.
Quota reservation
The room quota differs from the group booking in that each participant reserves their own room from the hotel’s sales service. We can offer two alternative quota reservations to our customers: Secured Room Quota and Open Room Quota.
SECURED ROOM QUOTA
The hotel will book a pre-arranged number of hotel rooms for your group and guarantee their availability at the offered price until the agreed date. To this day, hotel rooms can be booked with the booking code provided. A guaranteed room quota is subject to our standard group cancellation policy:
The hotel will charge the full amount of the reservation for the entire booking period for rooms that are not canceled within the stated cancellation periods. The organizer is also responsible for cancellations made by the hosts until the liability of the individual host takes effect. After this, the individual passenger is responsible for any cancellation / no show.
OPEN ROOM QUOTA
The hotel will book a quota at the price offered and the rooms can be booked according to availability. The hotel reserves the right to unilaterally limit quota availability if necessary. An open quota reservation has no cancellation conditions binding on the original quota allocator. Instead, an individual room reservation reserved for an open quota is subject to cancellation conditions, which are confirmed to the original subscriber in advance and stated in the confirmation of the individual reservation. To confirm late arrival, a valid credit card must be provided by the individual booking when booking.
6. Booking
Reservations can be made orally and in written. A booking with conditions will take effect when the customer confirms the booking either orally or orally and in writing and the hotel confirms the booking in writing.
Prior to the event, the schedule of the event, meal times, special diets, the number of participants, the list of names of the guests and the details of the meeting facilities must be specified.
Final list of names (Names, Titles, Room Type and Room Distribution), Arrival and Departure Times, Bag Carriage, Tour Operator Name and Contact Information, Payment Details (which charges will be included in the joint invoice), VIP customers and special requests, room deliveries, transportation and group program / schedule.
Please provide this information and details of any meeting reservations within the following deadlines:
14 days (1-15 room days / participants)
21 days (16-50 room days / participants)
28 days (51-200 room days / participants) before arrival
If there are changes to the final list of names, the changes must be announced separately and clearly marked. Additional bookings can be made on the same terms depending on the hotel’s booking status.
For quota bookings (Secure or Open group quota), participants book their rooms using the booking code provided. Reservations can be made by phone or email directly from the hotel’s sales service.
Meals
If the offer includes half and / or full board, meals must be ordered at least 72 hours in advance. Pre-ordered food, beverage and other services are subject to group cancellation policy.
